How do I pick up a call when using FortiVoice call waiting? 

Ensure the extension has been configured for call waiting.

  1. Open the FortiVoice management software to the Local Extensions/Fax page.
  2. Choose the extension in question.
  3. Select the Busy tab in the Call Handling section.
  4. Select invoke call waiting in the If extension is busy: pulldown menu.
    • Analog phones: Press Flash/Recall to put the first caller on hold, then dial 7.
    • IP phones: Press Tx/Transfer to put the first caller on hold, enter 7 and press Dial.

 

If you have multiple callers on hold, repeat the process to cycle through all calls on a first-in, first-out basis.

 


 

How do I pick up a call when using Telco call waiting? 
Call waiting is a phone company feature that is not recommended for use with FortiVoice.

If you must use Telco Call Waiting:

  • Analog phones: Press Flash/Recall 80.
  • IP phones: Press Tx/Transfer, enter 80 and press Dial.
     

Repeat this process to return to the original party.

 


 

How do I page someone over the public announcement speakers? 
Plug a PA or a speaker into the PA jack on the FortiVoice back panel.

  1. Dial *0 from any extension.
  2. Make the announcement.
  3. Hang up

 


 

How do I put calls on hold and retrieve them from another extension?
To park the call:

  1. Put the caller on hold
    • Analog phones: press Flash/Recall.
    • IP phones: press Tx/Transfer.
  2. Dial *510.
  3. You hear a prompt saying, "Call parked at 50x". (x is a number from 0–9)

 

To retrieve the call:

  1. Pick up any extension and dial **50x.
     

If the parked call is not picked up within 90 seconds, the extension that parked the call will start ringing.

 


 

How do I make a conference call?

  1. Put the first caller on hold — Analog phones: press Flash/Recall. IP phones: press Tx/Transfer.
  2. Dial a local or remote extension or an outside number.
  3. When the second party has answered — Analog phones: press Flash/Recall 6.
    IP phones: press Tx/Transfer 6.

 


 

How do I conference a call using the same line?

  1. Put the first caller on hold — Analog phones: press Flash/Recall. IP phones: press Tx/Transfer.
  2. Dial 80. The phone company puts the caller on hold and provides a dial tone.
  3. Dial the second phone number.
  4. When the second party has answered — Analog phones: press Flash/Recall 6.
    IP phones: press Tx/Transfer 6.

 


 

How do I cancel a transfer? 
Analog phones: press Flash/Recall 5.
IP phones: press Cancel.

 


 

How do I pick up a call that's ringing at another extension? 

  • To get the most recent ringing call, press *9.
  • To connect to a specific ringing extension, press *7 followed by the extension number.

 


 

How do I forward a call to a remote extension?

  1. Put the first caller on hold — Analog phones: press Flash/Recall. IP phones: press Tx/Transfer.
  2. Dial the remote extension number.

 

You can hang up when you hear the remote extension ringing for a blind transfer, or you can talk to the remote extension first and hang up to transfer the call.

 


 

How do I leave a message for another extension?
Press * followed by the extension number from a local extension.

 


 

How do I transfer a call to a voicemail?

  1. Put the caller on hold — Analog phones: press Flash/Recall. IP phones: press Tx/Transfer.
  2. Dial * followed by the mailbox number and hang up.

 


 

What is direct line access? 

Direct line access gives you an outside line without dialing a hunt group. You don't have to dial 9 (0 in some regions) for a line, but you also won't hear a stutter tone if you have voicemail, and you have to press Flash/Recall for intercom or voicemail access.

 

Direct line access is also handy for use with a fax machine that you've already programmed with numbers, so that you don't have to reprogram it.

 


 

How do I set the time on my phone?
During a power outage, or during initial setup, the phone may not have the time set on the screen. To set the correct time, confirm that the FortiVoice system has the correct time configured in the management software. Next, call the extension without the time from another extension. Let the phone ring twice until you see the extension number appear on the screen.
